This Privacy Policy explains how AdeptiveAI ("AdeptiveAI", "we", "us", or "our") collects, uses, discloses, and protects information in connection with our website, products, and services (the "Services"). We are committed to handling personal data responsibly and in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

We process personal data in two capacities:
Information you provide: name, email address, phone number, company details, the content of your messages, and any information you submit through forms, bookings, or correspondence.
Information collected automatically: technical and usage data such as IP address, device and browser type, pages visited, and interaction data, collected via cookies and similar technologies (see Section 11).
Data processed on behalf of clients: where we operate Services for a client, we may process end-user data (such as support messages, email content, or contact details) strictly on that client's documented instructions and only to provide the Services.
We use personal data to: provide, operate, and improve the Services; respond to inquiries and communicate with you; manage contracts, billing, and administration; ensure security and prevent misuse; and comply with legal obligations. Under the GDPR, our legal bases are: performance of a contract, your consent (where required, e.g. certain cookies or marketing), our legitimate interests (e.g. operating and securing our business), and compliance with legal obligations.
We do not sell personal data, and we do not use client or end-user data to train, fine-tune, or improve any AI model without the appropriate controller's explicit consent.
Where our Services connect to Google services (for example, to read, draft, or send email on a client's behalf), access is granted only through Google's official OAuth consent flow and is limited to the scopes strictly necessary to provide the requested functionality. Users can revoke access at any time via their Google Account security settings.
AdeptiveAI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not use it for any purpose other than providing and improving the user-facing features for which access was granted, except as required for security or to comply with applicable law.
We rely on reputable third-party providers to deliver the Services — for example, cloud hosting, database, email-integration, communication-platform, and AI-model providers. These providers process data on our (or our client's) behalf under contractual data-protection obligations. A current list of sub-processors used for a specific engagement is available to the relevant client on request. We remain responsible for the handling of personal data by our sub-processors.
We and our providers may process data in countries outside your own, including outside the European Economic Area. Where personal data is transferred internationally, we implement appropriate safeguards (such as the European Commission's Standard Contractual Clauses or an equivalent lawful transfer mechanism) to ensure a comparable level of protection.
We retain personal data only for as long as necessary for the purposes described in this Policy, to comply with legal, accounting, or reporting obligations, or as instructed by the relevant controller. Data processed on behalf of a client is retained and deleted in accordance with that client's instructions and our agreement, after which it is securely deleted or anonymised.
We apply appropriate technical and organisational measures to protect personal data, including encryption in transit and at rest, access controls and multi-factor authentication, the principle of least privilege, and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Subject to applicable law, you may have the right to access, rectify, erase, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent at any time. To exercise these rights, contact team@adeptiveai.com. Where we process data on behalf of a client, please direct your request to that client (the controller); we will assist them as required. You also have the right to lodge a complaint with a supervisory authority — in the Netherlands, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
Our website may use cookies and similar technologies for essential functionality, analytics, and to improve your experience. You can manage or disable cookies through your browser settings; disabling some cookies may affect site functionality.
Our Services are intended for businesses and are not directed to children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
We may update this Policy from time to time. The "Last updated" date reflects the latest revision. Material changes will be indicated by updating this page; your continued use of the Services after changes take effect constitutes acceptance of the revised Policy.
